How to Choose an Event Management Company in Riyadh
Since 2019, we have delivered events for companies and government entities, giving us a close view of what makes an event run smoothly from the first meeting through to event day. More often than not, the difference is not visible in a presentation. It shows in the details that are clarified before the contract is signed.
Here are some of the questions we believe are worth asking when choosing an event management company, whether you work with us or someone else.
What They Handle In-House
The first thing to clarify is what the company will handle themselves, and what they will rely on external suppliers for.
Some event companies focus mainly on project management and coordination, while other parties take care of design, technical production, hospitality or crowd management.
Working with multiple suppliers is not necessarily a problem. What matters is that responsibilities are clear from the beginning, and that you know who to turn to when a change or quick decision is needed.
At Last Minute, our team handles event design and build, technical production, crowd management, hospitality and documentation as one team, from concept through to execution.

Look for Relevant Experience
Previous work gives you a much clearer picture of an event company’s experience than a company profile alone.
But it is not enough to look at the names of their clients. Ask about events similar to yours in terms of scale and format. Have they delivered a conference of this size? An internal event for employees? An event for a government entity? How did they manage the venue, teams and suppliers involved?
It is also worth asking about challenges they faced during previous events and how they handled them. Experience is not only about when everything goes according to plan. It also shows in how a team responds when the plan needs to change.

The Production and Technical Team
Sound, lighting and screens are among the most visible parts of an event, and any issue with them is noticed immediately.
It is worth asking what equipment will be used, who will operate it and how everything is tested before the event begins.
At Last Minute, our technical team handles the setup and operation of the event’s technical elements, with testing and preparation completed ahead of event day. Having the same team involved throughout the setup and execution means they already understand the venue, equipment and requirements before the guests arrive.

Beyond the Stage
An event does not begin when the first speaker walks onto the stage.
From the moment guests arrive, a series of details shapes their experience: reception, entry, crowd flow, hospitality, wayfinding and documentation.
Ask how these elements will be managed and who will be responsible for them on site. Crowd management and hospitality are not details to add at the end. They are part of the overall experience and require proper planning and dedicated teams.
